What Do You Check Before Choosing a Virtual Business Address?

Choosing a virtual business address may seem straightforward, but there are several practical details that businesses sometimes overlook. Mail handling, accessibility, professional credibility, and the services included can all affect whether the arrangement works in the long term.

A few things worth checking:

  • Confirming how incoming business mail is received and managed
  • Checking whether mail forwarding or collection is available
  • Understanding the terms, additional fees, and contract duration
  • Verifying whether meeting rooms or occasional workspace access are included
Businesses exploring options around Ilford Business Centre and other London business locations may find that comparing the actual services is more useful than comparing prices alone.

For anyone using a virtual office, what mattered most when choosing your provider: location, cost, mail handling, or flexibility?

The one check that trumps everything else: whether the provider is registered with HMRC for anti-money laundering supervision. Any firm offering registered office or director service addresses must be, and plenty of cheap ones aren't. Ask for the registration number before paying anything.

Since the Companies House rule changes, a registered office has to be an "appropriate address" where mail is actually received and acknowledged. PO boxes are out, and if your provider folds or stops handling post, your company can end up with a default address and a compliance headache. So check how long they've been trading and what happens to your mail if they close.

Beyond that, the practical stuff matters:

  • Same-day scanning of HMRC and Companies House letters, not weekly batches
  • Whether the address covers both registered office and director service address, or costs extra
  • Notice period and renewal terms, especially auto-renewals

Location only really matters if clients will actually visit.

First, make sure it actually counts as an “appropriate address” for Companies House. It has to be a physical UK address (PO boxes aren’t allowed anymore), and post needs to reach someone acting for your company, with proof of delivery possible. If it fails that, you can end up having to change it.

Second, ask how they handle post. Do they scan it, forward it or hold it for collection? How fast, and what does each cost? That’s where a lot of providers add extra fees.

Third, look at the total price, not just the headline number. Scanning, forwarding and renewal charges can add up quickly.

Also check how easy it is to cancel or switch. Changing your registered office later means updating a lot of places, so you don’t want to be locked in.

Finally, remember the address will be public on the register, so it should look like a proper business location. Banks and customers do notice.

Hope that helps!

I’d also recommend comparing providers based on what’s included in the package rather than just the advertised price. For example, Icon Offices is worth considering for businesses looking for a virtual business address in London, particularly if they need a professional business presence without the cost of a permanent office. It’s worth checking the available mail handling options, contract terms, and any additional services before making a decision, as these can make a real difference in the long run.
