From what I’ve seen, event logistics can make or break the entire experience. Managing transport, equipment, and timing all together is not as easy as it sounds.

Recently, I was part of an event where even a small delay in setup affected the whole schedule, which made me realize how important proper planning is.

I’m curious to know how others here handle logistics planning to keep everything running smoothly.

Practical ways to keep event logistics tight

I run it like a mini project: one owner, one plan, one source of truth. Build a backwards timeline from doors-open, with hard “drop-dead” times for load-in, rig, soundcheck, and rehearsal. Share it with every supplier and get written sign-off.

  • Master run sheet: timings, contacts, vehicle regs, access notes, power specs, and who signs off each stage.
  • Buffer: 10–20% time padding on setup/derig, plus a contingency plan (spare cables, backup mic, spare van/driver number).
  • Site walk + photos: loading bays, lifts, door widths, parking, and nearest trade entrances.
  • Comms: one WhatsApp group for ops, and a separate one for client-facing updates to avoid noise.

If you’re using freelancers, pay for a short pre-call; it saves hours on the day.
