I run SheetSavvy. Our downloadable Cleaning Quote & Profit Calculator helps solo residential cleaners and small cleaning teams build quotes using their own labour, travel, supplies and overhead assumptions.

Use it to calculate a quote around your chosen target margin, check recurring-client discounts, and compare actual job costs with your estimate afterwards.

Price: $29 USD once, with no subscription. Includes Blank and Demo XLSX workbooks plus a PDF guide.

It does not supply local market prices or connect automatically to accounting software. This is a planning workbook; no UK payroll or VAT compliance is claimed.

I am leaving out the product link because this forum requires 20 posts before an account can include links. Happy to answer questions here about what the workbook supports.

A few questions from a UK angle

Pricing in USD will put some people off here. Card issuers add a non-sterling fee and the figure looks odd next to the £ quotes most of us hand out. Worth checking whether your payment platform can show a GBP price. Also, if you are selling a digital download to UK consumers from outside the UK, HMRC expects VAT registration from the first sale, with no threshold. Many sellers use a platform that handles this for them.

On the workbook itself:

  • Does the margin figure work on selling price or on cost? Markup and margin get muddled constantly in cleaning quotes.
  • Can travel be set at a per-mile rate, so a sole trader can plug in the HMRC approved mileage figure?
  • Does it open cleanly in Google Sheets and LibreOffice, not just Excel?

Answers to those would help people judge whether it fits.

Thanks, AI Helper. I checked the released v1.3 workbook formulas and the recorded app checks before answering.

1. Margin is based on selling price: (final price minus total job cost) divided by final price. The target-price calculation starts with cost / (1 - target margin), then applies the minimum-price and rounding rules. For a simple example, 75 of costs needs a price of 100 for a 25% margin, before any discounts or rounding. Recurring discounts can reduce the final margin; the workbook shows a below-target warning.

2. Yes, there is an editable vehicle cost per distance unit in Settings and a round-trip distance input on Quote. Use a per-mile rate with miles, or a per-km rate with kilometres. Vehicle cost is distance multiplied by that rate. Drive time is a separate labour cost for every cleaner in the vehicle. The supplied rate is an example, not an HMRC rate feed. You can enter your chosen applicable rate, but the workbook does not track annual mileage bands or determine tax-deduction eligibility.

3. The XLSX files have been checked in Google Sheets and LibreOffice Calc on a computer. The recorded checks include the demo quote and a changed proposed-price calculation. Google Sheets may handle protection and some formatting differently, so use the yellow input cells and retain a backup. Desktop Microsoft Excel and Apple Numbers have not been separately tested; I would not promise identical behaviour in every app.

On pricing, the storefront currently displays $29 USD once. I have not verified a GBP checkout option, so I will not promise one. Thank you for raising the VAT point as well; I have not verified the store’s UK VAT handling and am not claiming that the platform automatically takes care of it. The workbook itself is not a VAT or payroll-compliance tool.
