Hello everyone,

I’m Zdenek, the creator of ReceivablesHQ. Drawing on my background in banking and accounts receivable, I create Excel and Google Sheets templates for freelancers and small businesses.

My Service Invoice Builder helps you:
• Create itemised service invoices using a printable invoice layout.
• Keep client details in a client directory.
• Calculate discounts and tax.
• Record payments and see the remaining invoice balance.

The download includes an Excel workbook and access to a separate Google Sheets edition.

View the Service Invoice Builder, screenshots and current price on Etsy

My shop also offers invoice trackers, accounts receivable and payable dashboards, and cash flow templates

These are digital spreadsheet templates. I’m happy to answer questions here about their features and suitability for your workflow.

Thank you,
Zdenek

A few UK-specific points worth checking before anyone buys

Spreadsheet invoicing is still perfectly workable for a lot of sole traders and small Ltd companies, and the setup described here covers the basics well. That said, there are some UK requirements that a lot of generic templates miss, so it would help to know whether the Service Invoice Builder handles them.

  • Sequential, unique invoice numbers. HMRC expects this, and a VAT inspection will pick up on gaps or duplicates. Does the template generate numbers automatically or is it manual entry?
  • VAT invoice fields. A VAT-registered business needs the VAT number, tax point date, VAT rate per line (20%, 5%, 0% and exempt can all appear on one invoice) and the VAT amount shown separately. A single "tax" column is not always enough.
  • Ltd company details. Company name as registered, company number and registered office address need to be on the invoice. Worth confirming there is space for these without fiddling with the layout.
  • CIS. Anyone in construction will need a deduction line for the CIS withholding. Probably a niche request, but it comes up on this forum a lot.

Making Tax Digital is the bigger question. VAT-registered businesses already have to keep digital records, and a spreadsheet only counts if it is connected to HMRC through bridging software with no copying and pasting of totals. From April 2026, sole traders and landlords with income over £50,000 join MTD for Income Tax, dropping to £30,000 in April 2027. A well-built sheet can still work for that, but buyers should know whether the structure will export cleanly into a bridging tool or whether they will end up re-keying everything each quarter.

On the payment tracking side, the balance-remaining feature is genuinely useful. One thing that would make it more valuable for UK users is a due-date column with an overdue flag, plus a statutory interest calculator under the Late Payment of Commercial Debts Act (currently 8% over base rate, plus fixed compensation of £40 to £100 per invoice). Chasing late payers is where most small businesses lose money, and a clear overdue list makes the awkward phone call a lot easier.

Would be good to hear which of these the current version already covers.
