On how quotes usually get tracked

Most small cleaning firms run a shared spreadsheet with columns for site, contact, quote value, date sent and a "chase on" date, plus a mess of starred emails. The spreadsheet works until two people edit it at once or someone forgets to update it after a call. The real pain point is rarely the list itself; it's knowing who last spoke to the prospect and what was said. If QuoteRelay captures a short note per follow-up, that alone beats most spreadsheets.

Things worth checking before the demo goes wider

  • VAT on quote values. Commercial cleaning clients expect ex-VAT figures, so the queue should make clear whether a value is net or gross, especially for firms sitting near the £90,000 registration threshold who need to watch rolling turnover.
  • Quote expiry. Prices on consumables and labour move, so a "valid until" date with a visual flag when it lapses would be handy.
  • Win/loss reason. Even a simple dropdown (price, timing, went with incumbent) gives owners something useful at quarter end.
  • Site visit scheduling. Many commercial quotes need a walk-round first, so a status before "quote sent" would reflect how the work actually flows.

Data and compliance points

Because the tool will hold prospect contact details, UK buyers will ask where data is hosted and whether a data processing agreement is available. Having a short privacy notice and confirming UK or EU hosting removes friction. Most cleaning businesses also need to pay the ICO data protection fee themselves, so a one-line reminder in onboarding would be a nice touch rather than a burden.

On pricing

£9 per workspace per month is sensible for the market. State clearly whether that is plus VAT and whether "workspace" means unlimited users, because owners will compare it against per-seat tools and that distinction matters. For payments, Stripe or GoCardless direct debit are both familiar to UK trade businesses and reduce chasing on your side.
