How are financial businesses managing employee compliance training?

For UK banking and finance businesses, I’m interested in how teams currently manage employee compliance training, particularly when there are regular policy updates, assessments and certification requirements.

One challenge seems to be keeping training records organized while making sure employees complete the learning relevant to their roles. Compliance training software can help bring learning materials, assessments, completion records and certifications into one place, but the right approach probably depends on the size and structure of the organisation.

I’ve been looking at platforms such as e-KHOOL, which allow organisations to use their own policies, procedures, videos and assessments within structured learning paths.

For those working in finance or accounting, how does your organisation currently manage compliance training and certification tracking?

Small firms vs. larger ones

Under SM&CR, the FCA cares less about which platform you use and more about whether you can evidence who was trained on what, when, and which version of the policy they signed off. Plenty of smaller regulated firms manage perfectly well with a role-to-training matrix in a spreadsheet, annual Conduct Rules refreshers, and signed attestations filed by staff member. Once headcount passes 30 or so, that starts to creak and an LMS earns its keep.

What actually matters, whatever the tool

  • Version control on policies so you can prove someone completed the current one, not last year's
  • Role mapping, so a mortgage adviser isn't sitting through AML modules meant for the finance team
  • Automated reminders and escalation to line managers before certifications lapse
  • Records retained for at least six years and exportable for an FCA visit

Trial any platform against those four points before signing a contract.
