Do small business owners really need bookkeeping software or is Excel enough?

I work with small business owners and many of them are still managing their finances on Excel spreadsheets. While it works in the very early stages, it gets complicated quickly as transactions increase.

I wanted to ask the community here at what point did you decide to switch from spreadsheets to proper bookkeeping software? And was it worth the monthly cost?

When Excel stops being “good enough”

Excel is fine for very low volume and simple cash in/out, but most UK small businesses switch once any of these kick in: VAT registration (or close to the threshold),regular expenses/receipts to track, multiple bank accounts/cards, staff/subcontractors, or you’re spending more than an hour a week reconciling.

It’s usually worth the monthly cost when it saves time and reduces errors: bank feeds, rules, receipt capture, and proper VAT returns (MTD) are the big wins. It also makes year-end smoother for your accountant and helps you stay on top of cash flow.

If someone is still pre-VAT with <30 transactions a month and no credit control, Excel can still be fine. Beyond that, software tends to pay for itself quickly.
