Quick question on a change of an invoice

I run a small self employed business

We prepaid for an event back in 2019 that we could not proceed with due to Covid, we postponed until this summer but we are unable due to logistics our end to go ahead with it. The event was non refundable which we understand.

The company have kindly come back and said although we cannot get a refund they will do an in kind branding amount to the same value which we would be delighted with

My question is what steps do I need to follow our end? Do we need to request a new invoice showing this or is the email exchange with us agreeing enough? I have never been in this situation before
